What to Expect On-site
 
Step 5:  Stay in close touch with your technician
 
On site, your technician's top priority is to setup and test the system.  This can take anywhere from one to five hours depending on how quickly the Audio Visual team gets their equipment in place, and when the hotel staff sets tables and chairs.
 
He also needs to make certain he has all of the correct files for your meeting and that his backup equipment is set and ready to go.  He needs to check that both computers can send audio and video to those systems.  And, he needs to make certain that each keypad is working.
 
So, if at all possible, give him the room to do his job.  (Our use of the term 'him' in reference to a technician, is for ease of reading.  There are lots of 'hers' in the industry, and most excel at what they do.)
 
Now to the subject of 'changes'.  Our opinion is 'don't make changes unless they are essential'.  And at that, avoid major edits at all cost.  For each change you make, you run the risk of an on-screen error.  These systems are not simple PowerPoint®  slides.  The graphic layout needs to change too, in most cases.  And most important, your technician has practiced the 'show' as it was, and may now have something quite different come show-time.  
 
If there are some edits, be sure to go through them with your tech after the changes have been made.  It is very difficult for a person to catch his own typographical errors.  Your help will be appreciated.
 
Once the show starts, stay nearby your tech, unless he is being supervised by an Audio Visual Technical Director.  The reason is that the speaker may throw a curve and skip a question, or otherwise stray from the script.  If so, your tech will need direction from you.
 
Minimizing changes, and providing direction if needed will go a long way toward make this a flawless performance.
